After School Programs

In order to ensure the safe arrival of all children to PTA-Sponsored programs, and create consistency within our organization, a documented procedure has been created.  This process is probably similar to what many programs already use, however, by outlining the process we will be able to respond more quickly should a child not arrive to their program as planned.  Please familiarize yourself with this process and help spread the word to all parents participating in after school PTA sponsored programs such as Art Club, Science Adventures, Chess Club, Missoula Theatre, etc.

Correspondence Regarding Participation

1. All students participating in an after school program must bring a note to their teacher at the beginning of that program outlining which days the child will be altering their regular after school schedule in order to attend the program.

2. Should a child plan to not attend one of the program days, an additional note must be given to the teacher stating this change.

a. The teacher will communicate to the office the children attending class who will not be attending their scheduled program.

Check-In of Students

1. At the beginning of a program, a current attendance roster including program dates should be emailed to the office staff and all teachers who have students attending.  This should include parent/emergency contact numbers.

2. All programs must take attendance at the start of the session.

3. If a child is not present, the instructor or volunteer must contact the office to verify their attendance at school for that day.

a. If the child was present at school but not at the program, the instructor or volunteer must phone the parent to verify the child’s whereabouts.

1. If the parent believes the child should be at the program, the instructor or volunteer contacts the office who will then handle the missing child search.

b. If the child was not present at school on the program day, no further action is taken.

Check-Out of Students

1. At the end of the class, children should be released to the parent or guardian only after the pick up person has signed out on the attendance sheet.

2. If no one arrives to pick up the child, an instructor or volunteer must make contact with the parent/guardian to arrange pick up; documenting the conversation.

Rarely have we had children truly become lost after school.  However, with more parents going back to work and our program offerings increasing, the chance that a child forgets and ends up home alone may increase.  The Wellington PTA would like to ensure that we provide children and parents with a peace of mind that, should the unexpected occur, we will be ready.
